We are seeking a reliable, detail-oriented, and highly organized Accounting & Operations Specialist to join our team. This is an in-house position combining accounting, inventory cost tracking, payroll preparation, vendor payments, sales commission reporting, and inbound freight coordination. The ideal candidate should be comfortable working with numbers while also being able to coordinate with vendors, warehouses, trucking companies, and different departments within the company. This position works closely with company management and plays an important role in maintaining accurate financial and operational records. Key Responsibilities1. Inventory & Cost Accounting Maintain accurate records of incoming and outgoing inventoryRecord and verify purchase quantities, receiving quantities, and product costsTrack purchase prices and maintain accurate inventory cost informationAssist with inventory reconciliation and inventory adjustmentsInvestigate discrepancies between purchase orders, receiving records, and inventoryCalculate and maintain product cost informationAssist management with product cost and gross profit analysisMaintain organized purchasing and inventory documentation 2. Accounts Payable & Vendor Payments Enter and review vendor invoicesMaintain accurate Accounts Payable recordsReconcile vendor invoices and statementsTrack outstanding balances and payment due datesPrepare vendor payment schedulesPrepare payments for management approvalVerify payment amounts against invoices and purchase recordsMaintain organized records of vendor purchases and paymentsCommunicate with vendors regarding invoices, balances, and payment questions 3. Payroll Administration Prepare employee payroll informationReview employee hours, overtime, PTO, and other payroll-related informationVerify payroll data before submissionCoordinate payroll processing with the company's payroll providerReview payroll reports for accuracyMaintain payroll-related recordsAssist with payroll reconciliation and reporting 4. Sales Performance & Commission Track sales performance by salespersonPrepare weekly and monthly sales reportsCalculate sales commissions according to company commission policiesVerify sales and commission calculationsTrack sales from different sales channelsPrepare commission reports for management approvalAssist management with sales performance analysis 5. Freight & Logistics Coordination Coordinate inbound freight shipments after company purchases are confirmedContact trucking companies, freight carriers, and freight brokers for shipping quotesCompare freight rates, transit times, and service optionsSelect appropriate and cost-effective transportation methods based on shipment size, cost, timing, and urgencyArrange and schedule freight pickupsCoordinate pickup times with vendors, warehouses, trucking companies, and freight brokersProvide carriers with pickup addresses, contact information, pallet count, dimensions, weight, and shipment detailsTrack incoming shipments and follow up on shipment statusHandle delayed pickups, missed pickups, delivery delays, or other freight-related issuesReview freight invoices and verify transportation chargesMaintain freight cost recordsCompare carrier pricing and help management reduce transportation costsExperience with LTL, FTL, palletized freight, or freight brokers is preferred 6. Candidates with strong experience in inventory accounting, QuickBooks, payroll, AP, and freight coordination may qualify for compensation toward the higher end of the range.
